This Virtual Office & Mailbox Agreement (this "Agreement") applies to Power City Spaces virtual office,
US mailbox, dedicated phone number, and receptionist services. It works together with, and is incorporated into,
our Terms of Service. By subscribing to a virtual office service or accepting
these terms at checkout, you agree to this Agreement.
1. Services covered
Depending on the plan you select, we provide one or more of the following at 225 Old Falls Street,
Niagara Falls, NY 14303:
Virtual Office & US Mailbox — Basic ($99/mo): use of our street address as your business
address; receipt and secure storage of letter mail and envelopes; email notification when mail arrives; pickup
during staffed hours; package and parcel storage for up to one (1) week; and mail forwarding at cost plus a
handling fee.
Virtual Office & US Mailbox — Premium ($150/mo): everything in Basic, plus one free
two-hour meeting-room booking per month, package and parcel storage for up to one (1) month, a building directory
listing, professional lobby greeting for your clients, and a 10% discount on additional meeting-room bookings.
Dedicated US Phone Number ($50/mo, or $75/mo with the answering tier): a US local or toll-free
number with the calling, messaging, and call-handling features described on our website.
Receptionist Service ($150/mo): in-person greeting and direction of your visitors during
staffed hours (Monday–Friday, 9:00 AM–5:00 PM EST).
Plan inclusions and prices are as described on our website and may be updated on notice.
Required before mail service begins — USPS Form 1583. US Postal Service regulations require every
mailbox/virtual-address customer to complete and sign USPS Form 1583 ("Application for Delivery of Mail
Through Agent"), have it notarized, and provide two forms of valid identification (at least one a
government-issued photo ID) before we can lawfully receive mail on your behalf. Business customers must identify an
authorized officer or representative. We cannot receive or release your mail until a completed, notarized
Form 1583 and acceptable IDs are on file.
2. USPS Form 1583 & CMRA compliance
We operate as a Commercial Mail Receiving Agency (CMRA). You agree to:
complete, sign, and notarize USPS Form 1583 and provide the required identification before mail service begins;
keep your information current and submit a new Form 1583 whenever any listed information changes (for example,
an expired ID, a new address, or a change of authorized representative);
provide only true and accurate identity and business information.
You authorize us to receive mail and packages addressed to you at our address and to act as your agent for that
purpose, strictly within the scope you specify. We will use the CMRA-required address format where applicable.

Pickup & notification. We notify you by email when mail arrives. Mail and packages may be
picked up in person during staffed hours (Monday–Friday, 9:00 AM–5:00 PM EST).
Forwarding. On your request, we will forward mail to an address you provide. You pay the actual
postage/shipping cost plus a handling fee. We act only on instructions we have received and acknowledged.
Storage & overage. Packages held beyond your plan's included storage window incur a $5 per
package per month storage fee. We may decline or return oversized, perishable, hazardous, or high-value items.
Signatures. Unless you instruct otherwise in writing, staff may accept and sign for mail and
parcels from carriers including USPS, UPS, FedEx, DHL, and Amazon on your behalf.
Unclaimed items. Mail and packages not picked up or forwarded, and items you have abandoned,
may be handled as described in Section 6 and applicable USPS rules.
4. Prohibited uses
In addition to the acceptable-use rules in our Terms of Service, you agree not to use the address, mailbox, or
phone number to:
engage in or facilitate any unlawful, fraudulent, or deceptive activity, or to evade law enforcement;
receive contraband, hazardous materials, or items whose possession or shipment is illegal;
misrepresent the nature of your presence at the address or deceive government agencies, banks, or the public;
use the address as a registered-agent address or for service of legal process unless we have agreed in writing;
send bulk, unsolicited, or unlawful communications using the phone number.
You are solely responsible for the contents of your mail and communications. We may open, inspect, refuse,
surrender to authorities, or dispose of items as required by law or where we reasonably suspect a violation.
5. Fees, billing & renewal
Virtual office, phone, and receptionist services are billed monthly in advance through our payment processor
(Stripe) and renew automatically until cancelled. You authorize us to charge your payment method for the recurring
fee and for any usage charges, including package-storage overage and mail-forwarding costs. Fees are non-refundable
and we do not provide credits for partial months or unused inclusions. If payment fails, we may suspend service and
withhold mail and packages until amounts owed are paid.
6. Cancellation & what happens to your mail
You may cancel by giving at least thirty (30) days' written notice to
hello@powercityspaces.com before your next billing date. Cancellation
takes effect at the end of the current billing cycle.
After your service ends, and consistent with USPS requirements for CMRAs, we will:
continue to hold and, on your paid instruction, forward your mail for a period of up to six (6) months
following termination, so that mail is not refused;
charge applicable storage, handling, and forwarding fees during that period, which you remain responsible for;
after that period, treat remaining mail and packages as abandoned and dispose of them, except where law requires
otherwise.
Please file a change of address with USPS and update your correspondents promptly to avoid interruption.
7. Privacy of your mail
We treat the existence and contents of your mail as confidential and will not disclose them except: to you or your
authorized representative; to carriers as needed to receive or forward items; as required by law, subpoena, or USPS
regulation; or as necessary to protect our rights or safety. See our Privacy Policy

8. Disclaimers & limitation of liability
Mail and package services are provided "as is." We are not a courier or insurer and do not guarantee against delay,
loss, misdelivery, theft, or damage of mail or packages, including items lost or damaged by carriers before or after
they reach us. We are not responsible for the contents, value, or timely handling of any item, and you should not have
irreplaceable, cash, or high-value items sent to the address. To the maximum extent permitted by law, our total
liability under this Agreement is limited as set out in the Limitation of Liability section of our Terms of Service
(the lesser of the fees you paid us for the applicable service in the prior three months, or US $500.00).
9. Indemnification, governing law & general terms
The indemnification, governing-law (New York), dispute-resolution, and general provisions of our
Terms of Service apply to this Agreement and are incorporated by reference. If
this Agreement conflicts with the Terms of Service on a virtual-office-specific matter, this Agreement controls for
that matter.
10. Acknowledgment
By subscribing to a virtual office, mailbox, phone, or receptionist service, or by accepting these terms at
checkout, you acknowledge that you have read and agree to this Agreement and the Terms of Service, and you understand
that mail service is subject to completing USPS Form 1583.
